Cancellation & Refund Policy

This policy explains how cancellations and refunds work for hotel reservations made through begintravel.com. The specific policy that applies to your booking is the one displayed for the rate you selected at checkout, and it takes precedence over the general guidance below.

1. Rate-Level Cancellation Policy

Every room rate available on our website carries one of the following cancellation types, which is displayed prominently on the hotel detail page, the rate selection screen, and the checkout order summary:

  • Free cancellation until [date/time]: You may cancel at no charge before the stated deadline. The exact deadline (expressed in the hotel's local time) is shown on your booking confirmation. Cancellations received after the deadline are subject to a penalty as stated in the rate terms.
  • Non-refundable: The full booking amount is charged at the time of booking and is not refundable under any circumstances, including voluntary cancellation or early check-out. Non-refundable rates are clearly labelled before payment.
  • Partially refundable / tiered penalty: Some rates specify a cancellation penalty that increases as the check-in date approaches (e.g. 50% penalty within 7 days, 100% within 3 days). The applicable penalty schedule is shown in the rate details.

2. How to Request a Cancellation

To cancel a booking, please send an e-mail to support@begintravel.com with the subject line "Cancellation Request — [Your Booking Reference]". Include your booking reference number, the lead guest name, and hotel name. Cancellation requests must be received by our support team before the free-cancellation deadline to qualify for a full refund. The date and time of receipt of your e-mail by our system is the time used to determine which policy applies.

We aim to acknowledge all cancellation requests within 4 business hours and confirm the outcome (refund amount, if any) within 1 business day.

3. Refund Processing and Timing

Approved refunds are processed to the original payment card used at checkout via Stripe. Once we initiate the refund:

  • Stripe typically processes the refund within 5–10 business days, depending on your card-issuing bank.
  • Refunds are always issued in the original transaction currency (USD). Any currency conversion difference is borne by the Buyer's bank.
  • You will receive a refund confirmation e-mail from us once the refund is initiated. If you do not see the credit after 10 business days, please contact us with your booking reference.

4. Partial Refunds and Penalties

Where a cancellation penalty applies, only the non-penalised portion of the booking amount is refunded. For example, if the rate specifies a one-night penalty for cancellation within 48 hours of check-in, you will receive a refund of the total amount paid less the value of one night. The penalty amount is stated in the rate terms displayed at checkout and repeated in your confirmation e-mail.

5. Non-Refundable Rates

Bookings made on a non-refundable rate are not eligible for any refund, regardless of the reason for cancellation (including illness, travel disruption, or change of plans). We strongly recommend purchasing appropriate travel insurance if you select a non-refundable rate. The non-refundable nature of a rate is clearly indicated before and during checkout.

6. No-Show

Failure to check in on the arrival date without prior cancellation is treated as a no-show. No-shows are treated as a 100% cancellation penalty and no refund will be issued. If you anticipate a delayed arrival, please inform the hotel directly and notify us at support@begintravel.com.

7. Hotel or Supplier-Initiated Changes

In the rare event that the hotel or our supplier cancels or materially modifies your confirmed reservation (e.g. overbooking, property closure), we will notify you as soon as practicable and offer you either:

  • A full refund of the amount paid; or
  • An alternative property of equal or higher standard at no extra cost, where available.

We are not liable for any consequential losses (e.g. flight costs) in such circumstances beyond the refund of the booking amount.

8. Currency and Exchange Rates

All refunds are processed in USD, the currency in which your booking was charged. We do not control the exchange rate applied by your card-issuing bank when the refund credit appears on your statement. Any favourable or unfavourable exchange difference belongs to you.
